HR Operations Specialist – Poland & Germany

📍 Wrocław, Poland (Hybrid – 1–2 days per week in the office)
📄 12-Month Fixed-Term Contract with potential for a permanent role
💰 Salary: Up to 14,000 PLN Gross per Month

We are looking for an experienced HR Operations Specialist to support HR administration and payroll processes across Poland and Germany. This role is ideal for a detail-oriented HR professional with experience in HR Shared Services, employee lifecycle management, and payroll coordination.

Key Responsibilities

  • Act as the first point of contact for employee and manager HR queries relating to contracts, policies, payroll, benefits, and HR processes.

  • Manage HR cases through ServiceNow or a similar case management system.

  • Deliver end-to-end employee lifecycle administration, including onboarding, contract changes, salary updates, benefits administration, and offboarding.

  • Maintain accurate employee records and ensure compliance with local labour legislation and company policies.

  • Prepare, validate, and submit payroll inputs for Poland and Germany.

  • Liaise with payroll providers and internal stakeholders to ensure payroll accuracy and timely processing.

  • Support payroll corrections, reconciliations, and issue resolution.

  • Monitor service levels and ensure timely closure of HR tickets.

  • Identify process improvements and support automation and continuous improvement initiatives.

Requirements

  • Fluency in Polish and/or German (minimum C1 level) and strong English language skills.

  • Previous experience within HR Operations, HR Administration, or HR Shared Services.

  • Strong understanding of Polish and/or German HR administration and payroll processes.

  • Experience working with payroll systems such as ADP, Celergo, GlobalView, or similar.

  • Experience using ServiceNow or comparable HR case management tools.

  • Knowledge of payroll fundamentals, employee data management, and local labour law basics.

  • Strong attention to detail and ability to work accurately under deadlines.

  • Excellent communication and stakeholder management skills.

  • High level of confidentiality and understanding of GDPR requirements.

Nice to Have

  • Experience supporting multiple countries within EMEA.

  • Exposure to AI-enabled HR tools and automation.

  • Experience working with external payroll providers.
